9.5.2 Procedures
• use e-mail for most internal communication
• use e-mail for normal business related matters but not personal messages
• maintain e-mail addresses of branch offices, consultant services, service providers, clients and regular customers
• use accurate subject title and keep paragraphs and messages short and to the point
• keep language and style business like and limit personal observations
• include company details and your contact information. Also include name and signature, e-mail address and date
• restrict the size of attachments as large files can cause problems
• check your e-mail at least once a day
• reply to e-mails promptly
• delete messages immediately, or file in personal folder
• be aware that viruses can be imported via e-mail and take precautions to prevent infection
