9.2 Procedures
• collect mail from Reception by 9:15 am
• record all mail in the mail register
• sort mail into priority order within departments
• priority is given to mail that is: marked urgent; addressed to the Director
or Managing Director; certified; post or security post;
• report any suspicious or highly irregular and unsolicited mail to the supervisor or departmental manager
• distribute mail according to priority order and within 15 minutes of
sorting
• distribute staff mail to in-trays or pigeon holes by 10:30 am
• check fax machine regularly and distribute uncollected faxes to relevant staff
• print e-mail messages every two hours and otherwise when appropriate
Note that reception staff must accept and sign for incoming courier items and notify staff.
