9.1 Policy
All mail addressed to Fountain Art must be handled securely and processed
and distributed promptly. Mail is to be collected from reception by clerical
staff and opened and sorted at the mail desk in the Administration
Department. Mail is sorted and recorded in the mail register and types of
mail such as 'certified', 'security' and `express post' mail identified.
Priority is given to the distribution of all urgent mail, mail to the director
and managing director, and 'certified', 'security' and 'express post' items.
Staff must respond to incoming correspondence within five working days. When staff are absent their mail is to be processed within the department and appropriate action taken. Staff should make arrangements about their mail before taking leave.
