6.3.2 Receptionist
Role
The receptionist's role is to promote a positive and helpful image of the
company while attending to customer queries both in person and by phone. At morning and afternoon tea breaks and at lunchtime, the clerical assistant will relieve the receptionist to ensure the desk is always staffed.
Responsibilities
• receiving visitors and attending to their needs
• conducting visitors to appropriate office
• answering queries and providing information
• making appointments and keeping an appointments register
• answering incoming calls and transferring calls to appropriate personnel
• promptly recording and delivering messages
• clearing the answering service each morning and forwarding messages
• reporting faults or any unusual calls to the Office Manager
• keeping the reception area neat and tidy
