18.9 Policy and Procedures Manual

Fountain Art did not have a Policy and Procedures Manual when it was small. As the business grew and staff increased a Policy and Procedures Manual became necessary. Teams from each department worked together on the Manual so that it would be a useful reference for all employees. The Manual gives the guidelines for the behaviour of staff and ensures that all employees follow the same procedures and maintain Fountain Art's high standards.

The Policy and Procedures Manual includes sections on office organisation, communication, telephone, mail, office records, office equipment, computer operations, occupational health and safety and financial documents. Each new member of staff needs to become familiar with their duties and responsibilities by referring to the Manual and discussing their office tasks with their supervisor.

 

Office Phone Directory
Fountain Art has a phone directory that lists all members of staff and their phone numbers. A copy is provided for each desk or workstation and a master copy can be found in the back of the Policy and Procedures Manual. The Administration Department is responsible for keeping the directory up to date.

 

Occupational Health and Safety
All staff at Fountain Art are equally responsible for maintaining a safe working environment. Individual staff members are required to:

• take reasonable care of the health and safety of people at their workplace

• follow safe working practices and comply with health and safety policies

• use all protective clothing and equipment supplied by the company

• report unsafe working conditions, faulty equipment and accidents

• attend training sessions in emergency procedures, back care and manual handling, ergonomics and computer use

 

Conservation and our Environment
Fountain Art has always been aware of the importance to our environment of conservation issues . Our policy is to practise conservation and recycling in our manufacturing processes, in the office and in the Display Gardens.

Staff have been instructed to avoid wastage and to recycle materials wherever possible.

Recycling procedures are set down in the Policy and Procedures Manual but Fountain Art encourages new ideas and asks its staff to look for other ways to conserve materials and energy.
