Procedures

• ensure that machines are placed on flat surfaces and are well-ventilated

• ensure that the standard company fax transmittal sheet is completed and attached to all documents sent

• check that there is a sufficient supply of fax transmittal sheet and fax report paper in trays near the machines

• keep area clear near the machine and do not place objects on top of it

• distribute urgent incoming faxes immediately and others within 15 minutes of receipt

• always leave the machine on at night for incoming international messages and ensure an adequate supply of paper

• report all faults immediately to the company contractor

• keep the maintenance log book up-to-date and arrange for regular maintenance checks
